Voicemail

When nobody answers, callers can leave a message. Voicemail in the sidebar shows yours, newest first, with a number on it for the ones you haven’t heard yet.

Listening

  • New messages are at the top with a dot. Press ▶ to listen; a message you play to the end, or skip to its end with the slider, moves to Heard.
  • Call back rings the caller from your browser.
  • ⋯ has Mark as new (or Mark as heard), Download (a WAV file every computer and phone plays) and Delete.
  • If you’re in a ring group, its messages show here too, marked “for Sales”. When someone in the group has heard one, the others see “Heard by Sara”. Deleting a group’s message deletes it for everyone in the group.
  • The box at the top (Mine) lets you look at one group’s messages only. Admins also get All boxes; when an admin listens to someone else’s message, it’s written in the activity log (System → Activity).

Messages are kept for 60 days and then deleted (an admin can change that, below). Each message can be up to 3 minutes long.

From a desk phone: dial *97

You don’t need a computer to hear your messages. On any phone that belongs to your extension, dial *97. Linx answers and plays the ones you haven’t heard yet, oldest first, each one introduced by the caller’s number read out.

While a message plays, or in the few seconds after it:

  • 1 plays it again.
  • 2 moves on to the next one.
  • 3 deletes it.

Press nothing and the next one follows by itself. A message you hear right through stops being new — so the light goes out, and it has moved to Heard on the website too. One you skip past stays new.

*97 plays your own messages only. A ring group’s are in Voicemail on the website and in the iPhone app, where everyone in the group can see them.

The light on your desk phone

Most desk phones have a lamp, or an envelope on their screen, for “you have a message”. Linx turns it on when you have a new one and off when you don’t — including when you hear the message somewhere else, on the website or in the app. Nothing has to be set up in Linx: the phone asks for it when it signs in, and is told from then on. (If a phone’s light never comes on, look in its own settings for something like voicemail subscribe or MWI and make sure it’s on.)

If your phone has no light, nothing is lost: dial *97, or look at Voicemail on the website.

Your greeting

Choose Settings at the top of Voicemail.

  • Greeting: Linx’s own says “The person you called isn’t available. Please leave a message after the tone.” Record your own instead: press Record, speak, press Stop, listen with Play, then Use this. A greeting can be up to 30 seconds. Linx uses the microphone chosen in Settings.
  • Outside office hours: what callers hear when a number’s office hours send them to your voicemail while you’re closed. Linx’s own says “We’re closed right now. Please leave a message after the tone.”
  • You can go back to Linx’s own at any time; your recording is kept, so you can switch back to it.

Recording a greeting

By email

Email me new messages sends each new message to your email address with the recording attached, so you can listen on your phone. It’s greyed until an admin sets up email. A ring group’s messages aren’t emailed: everyone in the group sees them here.

Turning voicemail off

The Voicemail switch in Settings turns your voicemail off: callers who aren’t answered then hear “not available” and can’t leave a message. Messages you already have stay.

For admins

  • People: each person’s details show their voicemail (“On · 3 messages · email on”) with Turn off.
  • Ring groups: a group’s details have its voicemail: on or off, and its own greetings. Anyone in the group can record them.
  • System → Settings: Keep voicemail sets how many days messages are kept (7 to 365), and shows the space voicemail uses. Messages older than that are deleted within the hour.
  • Where a call goes is set in Incoming calls and Ring groups. When someone’s voicemail is off, the sentence there says so: “callers hear “not available” (the voicemail for Sara Haddad (101) is off).”
  • Voicemail is kept in Linx’s database, so backups include it.
